Cancellation & Refund Policy
This policy explains how cancellations, rescheduling and refunds are handled across our online and offline coaching programs. By enrolling in any class, camp, workshop or tournament with Sathuranga Chanakyan Chess Academy, you agree to the terms below.
1Online Private Coaching Sessions
- Students may cancel or reschedule a private coaching session by informing the Academy at least 1 hour before the scheduled commencement of the session.
- Requests received less than 1 hour before the scheduled start time, or failure to attend the session, will be treated as a completed session and the fee for that session will not be refunded or carried forward.
- Cancellation or reschedule requests must be communicated through the Academy's approved communication channels only (registered WhatsApp number, email, or learning management system, where applicable). Requests made directly to a coach's personal contact will not be considered valid.
2Online Group Classes, Camps, Workshops & Tournaments
- Fees paid for online group classes, camps, workshops, tournaments, and special programs are generally non-refundable and non-transferable.
- Missed group sessions cannot be individually rescheduled, and fees for missed sessions are forfeited.
- Session recordings may be made available at the Academy's discretion to help students catch up on missed lessons.
- The Academy reserves the right to assign a substitute coach whenever necessary to ensure continuity of training.
3Monthly & Quarterly Coaching Fees
- Monthly and quarterly coaching fees are payable in advance.
- Students or parents who do not wish to continue for the subsequent billing cycle must inform the Academy at least 7 calendar days prior to the commencement of the next cycle.
- Fees already invoiced or paid for an upcoming month may be subject to this Refund Policy and applicable administrative deductions, where relevant.
- The Academy reserves the right to suspend classes, or withhold access to online sessions, recordings, tournaments, certificates, reports, or other Academy services, in the event of outstanding fee dues.
4Offline Group Classes & Compensation Class Policy
- Fees paid for offline group classes, camps, workshops, tournaments, and special programs are generally non-refundable and non-transferable.
- Compensation (makeup) classes are available only for students enrolled in offline coaching programs.
- Compensation classes shall be conducted only on the designated days and timings communicated by the Academy at the time of admission or through subsequent official communication.
- Students are responsible for attending their allotted compensation session. Missed compensation classes cannot be further rescheduled or carried forward.
5Refund Policy
- A student or parent may request a refund within 7 calendar days from the date of payment.
- If the refund request is received within 7 days, the Academy may process the refund after deducting the value of classes already conducted and any applicable administrative charges.
- Refund requests must be made within 7 days of enrollment/payment. No refunds will be granted after 7 days under any circumstances.
- No refund shall be available for classes, camps, workshops, tournaments, study materials, recordings, or services already utilized or delivered.
- Refund requests must be submitted in writing to the Academy at the contact details in Section 8.
- Approved refunds will be processed through the original mode of payment within 7 business days.
- Where payment was made via an online payment gateway, any transaction or convenience charges deducted at the time of original payment are levied by the respective payment service provider and are non-recoverable by the Academy.
6Academy Rights
- The Academy may reschedule classes due to coach availability, public holidays, technical issues, venue constraints, or operational requirements.
- Where applicable, a compensation class, recording access, or suitable alternative arrangement may be provided at the Academy's discretion.
- The Academy reserves the right to cancel an enrollment in cases such as incomplete registration details, insufficient batch strength, or non-payment of fees. In such cases, students will be informed promptly and any applicable refund will be processed in accordance with Section 5.
7Disputes
If you disagree with a refund decision, you may escalate your concern in writing to support@sathurangachanakyan.comwith the subject line "Refund Dispute – [Student Name]". We will review the matter and provide a decision within 10 business days. Unresolved disputes will be subject to the dispute resolution mechanism outlined in our Terms and Conditions.

9Policy Amendments
- Sathuranga Chanakyan Private Limited reserves the right to amend, modify, or update this Policy at any time without prior notice.
- The latest version of this Policy published on the Academy's official website shall prevail and supersede all previous versions.
- Parents and students are advised to refer to the Academy's official website for the latest version of this Policy and other applicable terms and conditions.
